The past couple of years have prompted businesses everywhere to rethink their work environments. One of the dominating trends is that of so-called flexible work environments—meaning that team members may be working remotely (such as from home) or at the office as one traditionally would.

Different organizations handle this flexibility in different ways—with, of course, varying degrees of said flexibility—but what they all share in common is a need to manage staff and engender opportunities for efficient collaboration.

In today’s post on the Professional Document Solutions blog, we’ll take a look at several Xerox tools which empower workplace leaders to do exactly that for their teams. Let’s first start with the newest tool of the bunch, the Xerox Team Availability App:

The Xerox Team Availability App is a recently developed Xerox tool designed to help organizations manage flexible teams of hybrid, onsite, and/or remote workers.

At its core, the app serves as a web portal designed to accept and report information about your staff.

It goes like this: each day, your team members are expected to access the Team Availability portal. They’ll answer a quick series of questions. While the app comes pre-loaded with generic (but useful) questions, the Team Availability App really shines when you create your own custom fields.

Request information such as where team members will be working from, what hours they’ll be available, and what project they’ll be working on. You can create any field/question you like. Generally the app will have smoother team acceptance if it only takes a few minutes to fill out!

As a final note about the Team Availability App, it also features optional location tracking services. This helps for tracking the location of a team member throughout the day and is very useful for organizations with multiple locations that staff may travel between.

Integrating Xerox Mobile Print and Cloud Document Sharing and Printing into Your Workflows

The modern implementation of flexible workplaces wouldn’t be possible without mobile and cloud services.

Your Xerox MFP is, of course, fully equipped to interface with mobile devices and cloud platforms—everything from Xerox’s own DocuShare to Office 365, Google Drive, Dropbox, and other major services.

Cloud connectivity and mobile printing are hugely helpful for your remote staff—imagine that your on-site personnel scan an important document that someone working remotely needs to edit or otherwise manipulate. Once the document is scanned, you can set up workflows to automatically and securely upload it to your cloud platform or even be sent as an email attachment right from the MFP itself.
