Let’s take a moment to learn how it works:

auto supply updatesHow Our “Just-in-Time” Delivery System Works: Connectivity is the Key

The key to this efficient, just-in-time delivery system is connectivity. Each time you replace a consumable, your device records the date and time of the change-out. The device manager communicates this information to our systems, ensuring that future supplies are shipped promptly—and only when they’re actually needed on your end.

Options for communicating this information to our systems are typically Xerox Device Agent or Xerox Remote Services. If you’re using Remote Services, when a cartridge reaches it’s limit of printing, toner is shipped based on actual usage of the device as well as the amount of toner left in the cartridge. This ensures that you receive your supplies just in time, without having to worry about running out.

Here’s the one caveat to be aware of: if a device is offline or there’s a communication breakdown between the device manager and the device, the change-out may go unnoticed. In these cases, the supply fulfillment system might assume there’s still a consumable on hand, which could delay the delivery of new supplies. So, it’s vital to ensure that your devices are always connected and communicating properly.

Follow These Easy Best Practices to Get the Most Out of Your Automatic Supply Replenishment Service

To get the most out of our auto supply fulfillment system, follow these best practices:

  • Replace consumables only when instructed by the device or a Xerox helpdesk representative.
  • Label each consumable with the device’s serial number, contact name, and location.
  • Inform us of any upcoming high-demand periods for toner or other consumables.
  • If you receive a defective consumable, notify PDS immediately for a replacement.

Also, please note that sharing consumables between devices can disrupt auto fulfillment, device uptime, and employee productivity. And remember, changing toner before it’s empty can negatively impact supply shipments. If you need to make changes to your device information, such as the address, contact(s), IP Address, or device-friendly name, it is important to communicate these changes immediately to to our team.

For organizations seeking a more holistic view of their assets, supply orders, service requests, and supply levels, authorized personnel are encouraged to request access to our Fleet Management Portal. This platform provides you with a bird’s-eye view of your entire printing fleet, complete with supply history, install days remaining, and on-hand balances. The Fleet Management Portal (FMP) is a powerful tool that gives you access to all this information and more.
