For many organizations, one of the things that requires the most “back and forth” is the successful negotiation of a service contract. Even if this specific document type isn’t necessarily a concern for you, there are sure to be some things that require the ping-pong of negotiation and sending documents between two or more parties.

In today’s post, we’ll use service contracts as an example, but the tips and technologies we want to discuss will apply to really any documents that tend to need handling in this way.

Xerox-powered tools can make negotiating service contracts with your clients much easier. As this kind of negotiation is often somewhat sensitive (even for established clients, improper handling of it can be a “make or break” moment!), you want all of the efficiency and error-free processes as you can get.

Let’s dive in:

In a moment, we’ll discuss some of the fancier ways that Xerox can help with service contracts (or, as we said, any kind of back-and-forth style document), but for now, let’s touch on the basics: the better you manage and organize your files, the easier everything will be. Xerox offers a lot of ways to help you with this.

For example, Xerox MFPs have a lot of “connector” apps, so that you can integrate the machine with your preferred cloud storage service of choice. Google, Dropbox, Microsoft 365, and of course, Xerox’s own DocuShare is supported.

A more advanced options is the Intelligent Filer App, which is an AI-powered tool that automatically names and organizes your scanned documents the way you want them, so you don’t have to manually label everything yourself. It’s extremely handy, but imagine it in the context of a service contract, which you may receive back as edited hard copy. If you scan it, the app can automatically file it correctly for you.

Workflow Automation Can Not Only Increase Efficiency and Speed, but Reduce Instances of Human Error in Document Handling

Modern Xerox MFPs have such a wealth of automation options for workflows that we couldn’t possibly cover all of them here. However, we can make some great recommendations. Check out these previously published posts:

When you start automating processes, you’ll find that not only does negotiating service contracts, but everything does. The point is to reduce human error (and effort!) as much as possible. For critically important documents, that can be extremely helpful, not to mention providing plenty of peace of mind.

Sometimes the quality of a document can be overlooked. For internal draft documents, works-in-progress, and so on, minor mistakes aren’t the end of the world. But for critical, client-facing documents, things are much different—these are the documents that need to be perfect. We believe that if you want critical documents to be error-free and client-ready, you’re best served by Xerox technology.
